Rules of thumb, not guarantees: round up for a hungry crowd and ask your caterer for their own figures.

    Checklist

      Shaping the day

The best fiestas have a clear shape. Open with food and music while people arrive, give the history two minutes (it is a battle anniversary, not Mexican Independence Day), then alternate performance with things people can do: a quiz table, a piñata for children, a dance lesson everyone can join.

Keep sets short. Thirty-minute music blocks with breaks let people talk and eat, and make it easy to fit a dance group between acts. Our music and dance guide has ideas, and the quiz works well on a tablet at the welcome table.

      Food and vendors

Hiring local Mexican and Mexican-American caterers and food trucks is the most authentic and most welcome option, and it keeps the money in the community you are celebrating. Ask each vendor early about permits, power, water and what they need for set-up.

Cooking yourself? Start from our recipes: guacamole, salsa roja, tinga, rice and esquites feed a crowd and scale up. Label every dish with its main allergens, offer at least one vegetarian main, and keep hot food above 140°F (60°C) and cold food cold. Check safe cooking temperatures with FoodSafety.gov.

Your local health department sets the rules for selling or serving food at public events; ask them before you promise anything.

      Sponsors

Local businesses, credit unions, schools and cultural organisations often sponsor community events. Approach them 8 to 12 weeks ahead with a one-page proposal: date, expected attendance, what their support pays for, and how you will thank them (a banner, a stage mention, a line on the programme). Agree the benefits in writing, and keep sponsor messages out of the performances themselves.

      Volunteers

Plan on roughly one volunteer for every 15 guests, and name a lead for each job: welcome table, food line, kids’ area, stage, set-up and clean-up. Give everyone a clear shift of no more than three hours, a bottle of water and a meal. Brief them on first aid, lost children and who the event lead is. Offer the planner above, printed, as the shared plan.

Whatever the size of the event, check with your city about permits, insurance, amplified sound and road or park closures well before you announce a date.
